How to Apply for an EIN — Step by Step

The IRS issues EINs at no cost, and the fastest route is the online application. Getting the number is genuinely quick if you have your information ready.

Before you start

Have these on hand:

  • Your filed Articles of Organization from BREG (form the LLC first, then get the EIN, so the entity name and details match)
  • The responsible party's name and Social Security number or ITIN — this is typically the owner or a managing member
  • Your LLC's legal name, address, and formation date
  • The number of members and your expected federal tax classification

Applying online

Go to the IRS EIN Assistant at IRS.gov and complete the application. It takes about ten minutes, and the EIN is issued immediately at the end — you can download and print the confirmation and start using the number the same day. The online tool is available during posted IRS hours and requires a U.S. SSN or ITIN for the responsible party.

If you cannot apply online

Applicants without a U.S. SSN or ITIN — common for non-resident owners of a Hawaii LLC — cannot use the online tool and instead file Form SS-4 by fax or mail. Fax is faster than mail. On the form, you leave the SSN/ITIN field handled per the IRS instructions for foreign applicants, and the IRS assigns the EIN once it processes the application.

The EIN Is Not the Same as Your Hawaii Tax Registrations

This is where Hawaii owners often get confused, so it is worth being explicit: the federal EIN and Hawaii's state tax registrations are separate things, obtained from different agencies.

Federal vs. state

  • The EIN comes from the IRS and identifies your business federally. One EIN per business, obtained once.
  • The General Excise Tax license comes from the Hawaii Department of Taxation and is required for nearly every Hawaii business. Getting an EIN does not register you for GET, and forming the LLC with BREG does not either — GET is its own step through the Department of Taxation.
